# Introduction

The **[Test Repository](https://getxraydocs.atlassian.net/wiki/spaces/XRAYCLOUD/pages/44565166)** (Figure 1) enables you to view two ways of organizing Work items:

- Folder view (Figure 1 - 2): hierarchical organization of [Tests](https://getxraydocs.atlassian.net/wiki/spaces/XRAYCLOUD/pages/44565156) and [Preconditions](https://getxraydocs.atlassian.net/wiki/spaces/XRAYCLOUD/pages/44565159) at the Space level by allowing you to organize Tests and Preconditions in folders and sub-folders.
- Test Set view (Figure 1 - 3): flat-list organization of Tests through the use of [Test Sets](https://getxraydocs.atlassian.net/wiki/spaces/XRAYCLOUD/pages/44565163).

Each Space has its own Test Repository. A Test or Precondition can only belong to one folder within the Test Repository. 

Users coming from legacy Test Management tools may find the approach of hierarchical organization through folders more natural and intuitive. Other organizations may prefer the Test Set approach instead.

# Test Repository Access

# Folders Section (Figure 2 - 1)

## Key Concepts

The Folders section (Figure 2 - 1) is a master-detail view. The master view (Figure 2 - 3) contains the folder hierarchy, while the Test Sets section/detail view (Figure 2 - 4) contains the Tests belonging to the selected specific folder.

At the root of the Test Repository, you will see the **Test Repository** folder (Figure 2 - 3). This folder has the following characteristics:

- It corresponds to the root folder.
- Is read-only, meaning it can't be deleted or renamed.
- Is composed of multiple folders and sub-folders along with Tests, in the context of the current Space.
- Contains all non-organized Test Work items (i.e., Tests that are not part of any folder), in the context of the current Space.

Within the **Test Repository** root folder, multiple folders can be created, and Tests can be added to them. Tests may only be part of one folder. Folders can be created at the root of the Test Repository or in any sub-folder within it.

In a given parent folder, folders must not have similar names. For this, Xray does a case-sensitive check of the trimmed folder name whenever you create or rename a folder. This means that these folder names would all be considered different folders: "phanTom", "phantom", "PHANTOM". Moreover, folder names must not use the "/" or "\" characters.

### Tests and Preconditions

Tests and Preconditions can be added (i.e., moved) from the **Test Repository **folder to the destination Test Repository folder by selecting and moving them using drag-and-drop. Tests and Preconditions can also be moved between folders.

You can choose the Tests to add to a given folder by selecting the folder, clicking the ellipsis button and selecting *Add*** **→** ***Tests/Preconditions.* More details below. 

### Main Areas

Figure 3 depicts the main areas of the Folders section, which includes the Test Repository itself, along with some auxiliary folders.

  - Figure 3 - 9: additional information about the shown (filtered) Tests and Preconditions versus the actual total number of Tests and Preconditions within the current folder.
  - Figure 3 - 10: a ranked list of Tests and Preconditions within the current folder (only direct child folders).
  - Figure 3 - 11: buttons to create Tests and Preconditions.
  - Figure 3 - 12: button to switch between the Flat view and the Folders view. More below.

### Recommendations

- Carefully structure the hierarchy of your folders, keeping in mind that a Test or a Precondition may only be in a single folder. Start by identifying the folders that you want to place at the root, and then try to drill down and create sub-folders that are relevant to you.
- If you're already using [Test Sets](https://getxraydocs.atlassian.net/wiki/spaces/XRAYCLOUD/pages/44565163), don't try to replicate the Test Sets model in the Folder section because, most likely, it won't work. Again: a Test can only be part of one folder in the Test Repository; with Test Sets, a Test can belong to several Test Sets. Use the Test Set section instead.
- Avoid semantics when it comes to the [execution](https://getxraydocs.atlassian.net/wiki/spaces/XRAYCLOUD/pages/44565117) phase, or your Test Repository will get messed up. Use the proper entities, such as [Test Plans](https://getxraydocs.atlassian.net/wiki/spaces/XRAYCLOUD/pages/44565153) (and corresponding boards), to make planning/execution-related organization.

#### View Mode: Flat or Folders 

You can switch between the *Flat *and *Folders* view by clicking its button (Figure 3 - 12).

If you choose *Folders view,* in the Tests section (Figure 3 - 6), you will see just the Tests that are direct children of the folder selected on the left side, within the Folders section (Figure 6 - 1). In this case, you can only select Tests directly within the currently selected folder.

On the other hand, if you prefer, you can switch to a *Flat* view; if so, you'll see on the right side (Figure 3 - 6) all the Tests that belong to a folder.

## Operations

### Master View (Figure 3 - 1)

#### Folders

You can select a folder by clicking it. Once selected, you can perform operations (right-click) or use the icons available at the top of the Folders section.

##### Creating a New Folder

##### Renaming a Folder

##### Expanding/Collapsing Folders

Folders can be expanded or collapsed easily by clicking the folder's arrow icon (Figure 8 - 1).

##### Collapsing All Folders

All folders can be collapsed by clicking the *Collpase All* icon (Figure 8 - 4). After clicking this icon, only the *Test Repository* folder will be visible (Figure 8 - 2).

##### Removing a Folder

##### Viewing Work Items

You can view the Test and Precondition Work items, from the selected folder and from its subfolders in the Work items search screen (Figure 11).

##### Moving a Folder to Another Folder

> Drag and drop the folder you want to move to the folder where you want it to go (Figure 13 - 1). Dragging the folder directly onto an existing folder will append it to the list of subfolders.

##### Reordering Folders

You can reorder a folder directly to a given position/rank by dragging and dropping the folder in the interim space between two existing folders. Once it's reordered, you will see a success message.

> ℹ️ If you wish to rank a folder as the last one (i.e., move it to the last position) within some parent folder, you just need to drag it to the parent folder.

> ℹ️ When creating a Test Set, Test Execution, or Test Plan, or adding Tests to an existing one, Xray will respect the order of the Tests, taking into account the ranking they have in the Test Repository.

> ℹ️ <span style="color: #000000">The algorithm starts by adding the Tests of the folder, respecting their rank in the folder, and then iterates through the sub-folders. Each sub-folder is processed the same way.</span>

> ℹ️ If a Test already exists in the destination entity (e.g., Test Set/Plan/Execution), then it is not added again, and the current ranking is maintained.

##### Creating a Test in a Folder

You can create a Test and associate it automatically with the selected folder.

##### Adding a Test to a Folder

You can add Tests to an existing folder based on some filters or JQL (Figure 17).

This action corresponds to moving the Tests from any folder they may already be in (including the Test Repository) to the destination folder. Thus, if you add a Test that is currently in a folder within the Test Repository to some destination folder, then it will be moved from the source folder to the destination folder.

#### Tests and Preconditions

##### Selecting Tests

> Tests can be selected by clicking them (Figure 18 - 1). Multiple selections are possible by using the *Ctrl* key (on Windows) or the *command* key (on OS X). If you want to select more than one Test, and the Tests are listed consecutively, use the *Shift* key to quickly select an entire group.

>  Click the first Test from the list you want to select, hold the *Shift* key, scroll down to the last Test you want, and click it. This selects the first item, the last item, and all items in between.

##### Filtering Visible Tests and Preconditions

The list of visible Tests can be filtered so that you can easily see and obtain the relevant Tests and Preconditions you need. The filter is applied when you switch to another folder.

Filtering Tests and Preconditions is quite useful, for example, when creating the structure of the Test Repository based on a subset of Tests and Preconditions from the *Test Repository*** **folder (Figure 18 - 5). There are several ways to filter, as shown below.

##### **Filtering by Text**

In the search bar (Figure 19 - 1), type a text/keyword related to the Test/Precondition you want to find.

To remove the filter, delete the keyword/s you entered (Figure 19 - 1).

##### Showing Only Tests or Preconditions or Showing Both Types

Click *Only Tests* (Figure 22 - 1) and then select *Tests and Preconditions* or *Only Predonditions* (Figure 22 - 2).

##### Moving to Another Folder

Tests and Preconditions can be moved to another folder just by dragging and dropping the selected Work items to the destination folder.

You can also use this operation for moving Tests (i.e., adding Tests) or for moving Preconditions from folder to folder within the Test Repository.

##### Ordering / Ranking

Tests and Preconditions can be ranked within a folder by using drag and drop.

### Test Sets

##### Creating a Test Set

##### Adding Tests to Test Set(s)

You can add selected Tests and Preconditions to an existing Test Set.

### Moving Tests to Root

You can move Tests to the Test Repository (root) folder; this is equivalent to removing them from the Test Repository.

There are two different ways to move Tests to the *Test Repository* folder:

1. Select the Tests you want to move, drag the Tests, and drop them in the *Test Repository*** **folder (Figure 27 - 1).
2. Right-click the Test/s and, on the box of options, select the *Move to Root* option (Figure 27 - 2).

### Xray History

Moving Tests and Preconditions between folders on the Testing Repository records the changes on the Xray History of each Test (Figure 28).

# Test Sets Section (Figure 35 - 2)

The Test Repository Test Set section is a master-detail view. The master view (Figure 32 - 1) contains the Tets Sets of the respective Space and the detail view (Figure 32 - 2) contains the Tests belonging to the selected Test Set.

## Master View Operations

### Filtering Test Sets

You can filter the Test Sets by using custom filters. This can help you if you're looking for a specific Test Set.
